MEETING MINUTES

Call to Order: 10:00 a.m.

In Attendance: Lynne Camp, Chairperson; Kathy Meserve, Treasurer; Anne Banks, Secretary; Terry Caswell, Director; Jeanne Maggio, Alternate; Julie Lamere, Alternate.

Minutes from the Previous Meeting (August 9, 2017): Kathy moved to accept the minutes, Lynne seconded the motion which passed unanimously

Correspondence and Communications: Terry had received 2 bank statements. She also asked if we had all seen the Pew Report out on ListServe. Of interest to us was a report where Millennials reported using their library as the most trustworthy source of information.

Library Director’s Report: Lynne moved to accept the Director’s report as written. Kathy seconded the motion. Motion passed unanimously.

Treasurer’s Report: Anne moved to accept the Treasurer’s report as written. Lynne seconded the motion, which passed unanimously.

Unfinished Business:

Guidelines for Non-Public Meetings: We reviewed the Guidelines to be sure we are compliant going forward. Terry will update the electronic copy of the document, adding the date and sources used to compile the Guidelines. Terry will put a copy in the Trustees’ basket. All agreed we should give a copy of this document to new Trustees. As suggested by the Guidelines, Lynne will put an agenda item on for us to review sealed non-public minutes. We agreed this would be appropriate to do after the first of the new year.

 

Portrait Update:  Terry contacted the artist, Chet Butcher, to ask if he were willing to use the Gale Library Building as the subject of his portrait.  He is, and the Trustees approved his going forward with the portrait.

 

Building Maintenance Review: On August 24th Ron LeMere and Bill Landry inspected the installed pull-down attic stairs.  Ron approved the stairs pending addition of a caution sign and with the provision that only staff and tradesmen, i.e. properly trained personnel and not patrons, use the stairway. He also strongly suggested that a clear path be provided in the attic.  Final inspection of the Library building will be done before October 4th by either Chief Alcaidinho or Larry Foote as required by the Joint Loss Management Committee.  Terry is also still working on several smaller projects.

New Business:

New Hire – Library Assistant I/Float: Lillian McCormack has been hired as a Library Assistant I/Float at grade 4/step 8, $10.38 per hour. She is currently being trained.

 

Library Director Annual Evaluation: The Trustees will put together the Director’s annual performance evaluation and present it to her at the October meeting..

 

Old Home Day: Terry is hoping to have 2 staff volunteers to man a table for the library at Newton Old Home Day, October 7th. Alternate Trustee Julie Lamere and the Friends group may also help out.

 

MFA Passes: Terry has purchased passes for our patrons from the Fuller Library. She was able to get 20 tickets for $57.00. Each ticket enables 2 patrons to purchase MFA admission for $10.00 each.

 

Collection Development Policy Review: We made minor adjustments to account for obsolete and discontinued media and media that is no longer part of our collection. We also changed the wording in the paragraph on complaints to allow the Trustees to handle these. Terry will revise the policy as suggested and note the date of revision on the form. We will sign the policy at our next meeting.

 

Acceptance of Donations: Patrons $23.10/ Books/DVDs/Crayons; Kevin Gardner – Book; Helene Parenteau – Three Books: Lynne moved we accept from patrons-$23.10/Books/DVDs; from Kevin Gardner – Book; from Helen Parenteau – Three Books; Kathy seconded the motion. The motion passed unanimously.

 

Friends’ News: Terry has planned a luncheon at the Library for October 17th to honor the Friends during Library Friends Appreciation Week. The Friends’ next meeting will be October 10th.

 

Monthly Invoices Review and Signage: Invoices were reviewed and signed at this meeting.
