MEETING MINUTES

Call to Order: 10:02 a.m.

In Attendance: Lynne Camp, Chairperson; Kathy Meserve, Treasurer; Anne Banks, Secretary; Terry Caswell, Director; Julie Lamere, Alternate, Jeanne Maggio, Alternate.

Minutes from the Previous Meeting (October 11, 2017): Kathy moved to accept the minutes, Lynne seconded the motion which passed unanimously

Correspondence and Communications: Terry received a thank you note from the Knitting Group thanking her for the wonderful job she and her staff do at the library. She also received a thank you note to herself, Sue, and Lauri from the Friends group for the luncheon she served them during Friends Appreciation Week in October.

Library Director’s Report: Kathy moved to accept the Director’s report as written. Anne seconded the motion. Motion passed unanimously.

Treasurer’s Report: We discussed encumbering some funds next month so we can pay bills that we know will come in during January 2018. Lynne moved to accept the Treasurer’s report as written. Anne seconded the motion, which passed unanimously.

Unfinished Business:

Library Director’s Annual Evaluation: The Trustees asked Terry if she had any questions regarding her review after reading the evaluation. Terry asked us to be more specific about the kind of statistics we wanted her to compile. Kathy and Lynne explained we were looking for yearly comparisons and trends for circulation, number of programs, and number of patrons. Terry thanked us for the clarification and for her favorable evaluation. She will provide the Trustees with a signed copy of her review, as well as signed copies of the last few years’ reviews.

 

Facilities Maintenance Updates: Terry was told work would begin on the new railing for the front walk within the next 3 weeks. Terry is also hoping to get in touch with the plumber on several intermittent plumbing problems.

New Business:

Budget Hearing Review: Kathy and Lynne went before the selectmen with our proposed budget on November 7th. The Selectmen asked no questions so our budget is tentatively approved pending their review of all of the departmental budgets.

 

Holiday and Trustee Meetings Schedules: All present discussed the Holiday and Meeting schedules, which Terry and Lynne will write up and send to all of us. We decided once again to close early, 4:00 P.M., on the day before Thanksgiving, 2018. We will be closing at 4:00 this year as well.

 

Acceptance of Donations: Patrons $1.40; Books; Two Packages of Pipe Cleaners; also a Book from the Newton Historical Society entitled ‘Suspended Worlds’: Lynne moved we accept from patrons-$1.40; Books; and Two Packages of Pipe Cleaners; also a book from the Historical Society entitled ‘Suspended Worlds’. Anne seconded the motion. The motion passed unanimously.

 

Question from Terry on upcoming staffing schedules: We discussed staffing schedules for the next few weeks.

 

Friends’ News: The Friends will be selling raffle tickets for Christmas Baskets again this year starting on November 14th. They will meet on that date and assemble the baskets to be raffled.

 

Monthly Invoices Review and Signage: Invoices were reviewed and signed at this meeting.

 

Next Trustee Meeting: Wednesday, December 13, 2017, 10:00 a.m.
