MEETING MINUTES

Call to Order: 10:15 a.m.

In Attendance: Kathy Meserve, Treasurer and Acting Chairperson; Anne Banks, Secretary; Terry Caswell, Director; Julie Lamere, Acting Trustee, Jeanne Maggio, Alternate.

Minutes from the Previous Meeting (November 8, 2017): Kathy moved to accept the minutes, Julie seconded the motion which passed unanimously

Correspondence and Communications: Terry received an email from the ALA’s District Dispatch concerning the vote soon to take place on Net Neutrality. Certain groups are seeking to limit access to the internet. Terry also shared with us the last in a series article by State Librarian Michael York which Kathy found on the listserve. The topic was the future of Libraries in New Hampshire. Finally, Terry shared with us the Timeline for Town Meeting schedule she received from Town Hall.

Library Director’s Report: Anne moved to accept the Director’s report as written. Julie seconded the motion. Motion passed unanimously.

Treasurer’s Report: We discussed encumbering some funds for future bills but Terry felt it was not necessary at this time. We have spent 99.5% of our appropriation funds as of November 30th. Julie moved to accept the Treasurer’s report as written. Anne seconded the motion, which passed unanimously.

Unfinished Business:

Facilities Maintenance Updates: The new railing is in place in the front of the library but still needs to be painted. Tony is waiting for a warmer day to do that. Terry has had the plumber out to address a few plumbing problems. He also installed some new faucets. Terry reported one of the upstairs lights needs a new ballast. She will contact the electrician to see when he can come and do the work. She will also speak to him about some other possible electrical work we might like to have done.

Staffing Review: Terry has received a resignation letter, effective at the end of this year, from                Jillian, who has relocated and is no longer in the area. Lillian McCormack is working out very well and has requested more hours, so Terry would like to make Lillian a permanent Library Assistant I as of December 31, 2017. Kathy moved that we make Lillian McCormack a permanent Library Assistant I at the same grade 4/step 8, $10.38 per hour, effective December 31, 2017. Anne seconded the motion, which passed unanimously.

New Business:

Budget Hearing Review: No changes have been requested as yet.

Encumbered Funds: Per the Director’s recommendation, no funds have been encumbered at this time.

Annual Town Report Review: Terry has formatted the statistics page and the narrative which will accompany it as well. Nancy Wrigley has requested all submissions be to her by January 8, 2018. Kathy will submit her Treasurer’s final 2017 report once she can close the month of December.

Acceptance of Donations:  Kathy moved we accept from patrons - Books; also from Chet Butcher a framed colored pencil drawing of the Gale Library; also a Biography Book from George Pessotti. Anne seconded the motion. The motion passed unanimously.

Friends’ News: The Friends are selling raffle tickets for Christmas Baskets again this year. The winners will be drawn on December 15th. The Friends will also hold a bake sale at Town Hall during the March elections.

Monthly Invoices Review and Signage: Invoices were reviewed and signed at this meeting.

Next Trustee Meeting: Wednesday, January 10, 2018, 10:00 a.m.
